General Terms and Conditions of Sale

Article 1 – Identification of the Organisation

The present General Terms and Conditions of Sale (hereinafter "GTC") govern all online purchases made through the website www.tictaclab.org (hereinafter "the Website").

The Website is operated by:

Tic Tac Lab ASBL is a non-profit organisation registered under Belgian law.

Article 2 – Scope and Acceptance

These GTC apply to all registrations and purchases of activities offered by Tic Tac Lab ASBL through its Website, including:

  • Weekly workshops (recurring sessions throughout the academic year);
  • Stages (day camps held during school holidays);
  • Punctual activities (one-off or occasional events).

By completing an online registration or purchase, the purchaser (hereinafter "the Parent" or "the Client") unconditionally accepts these GTC in their entirety. The Client declares that they are at least 18 years of age and are acting on behalf of the child(ren) enrolled (hereinafter "the Participant").

Tic Tac Lab ASBL reserves the right to update these GTC at any time. The version in force at the time of purchase is the one that applies to that transaction.

Article 3 – Registration Process

All registrations must be completed via the Website. A registration is considered complete only once:

  • The online registration form has been fully filled in;
  • Full payment or the first instalment (if a payment plan applies) has been received by Tic Tac Lab ASBL;
  • A confirmation email has been sent to the email address provided by the Client.

Places are limited and allocated on a first-come, first-served basis. Submission of a registration form does not guarantee enrolment until payment has been confirmed.

The Client is responsible for providing accurate and complete information at the time of registration. Any error in the information provided (child's name, age, allergies, medical conditions, etc.) must be corrected immediately by contacting info@tictaclab.org.

Article 4 – Age Requirements and Eligibility

Each activity has specific age requirements, which are indicated on the corresponding activity page on the Website. These serve as general guidelines to ensure activities are appropriate for the Participant.

If a child does not exactly meet the stated age requirement, parents are welcome to contact us at info@tictaclab.org before registering. We will consider the request on a case-by-case basis and can make arrangements where appropriate.

Tic Tac Lab ASBL reserves the right to refuse or cancel a registration if, after assessment, a Participant's participation is not deemed suitable.

Article 5 – Pricing and Payment

5.1 Prices

All prices are listed in euros (€) and are inclusive of all applicable charges.

5.2 Payment

For stages and punctual activities, full payment is required at the time of registration.

For weekly workshops, payment can be made in two instalments. The first instalment is due at the time of registration. A follow-up email containing a payment link will be sent to the Client for the second instalment at the agreed date.

Accepted payment methods are indicated on the Website at checkout.

In the event that a payment is declined or reversed, Tic Tac Lab ASBL reserves the right to cancel the registration.

Article 6 – Cancellation and Refund Policy

The cancellation and refund conditions differ according to the type of activity. All cancellation requests must be sent in writing to info@tictaclab.org.

6.1 Weekly Workshops

Weekly workshops are sold as a school-year subscription. Given the organisational constraints of running recurring sessions, the following conditions apply:

  • Cancellation within the first month following registration: full refund, minus an administrative fee of €10.
  • Cancellation after the first month: 50% refund of the remaining workshops.

Individual missed sessions are not refunded or made up as a general rule. Exceptions may be considered at Tic Tac Lab ASBL's sole discretion in cases of force majeure (see Article 8) or serious medical reasons supported by a doctor's certificate.

6.2 Stages (Day Camps)

The following cancellation deadlines apply per stage:

  • Cancellation more than 5 days before the start of the stage: full refund, minus an administrative fee of €5.
  • Cancellation 4 days or fewer before the start: 50% refund of the amount paid.
  • No-show on the first day without prior notice: no refund.

If a child becomes ill during a stage and cannot attend for medical reasons, a partial refund may be considered upon presentation of a doctor's certificate, at Tic Tac Lab ASBL's discretion.

6.3 Punctual Activities

Due to the one-off nature of punctual activities:

  • Cancellation more than 7 days before the activity: full refund, minus any administrative fees.
  • Cancellation within 7 days of the activity: 50% refund of the amount paid.
  • No-show on the day: no refund.

Article 7 – Cancellation by Tic Tac Lab ASBL

Tic Tac Lab ASBL reserves the right to cancel or modify an activity in the following circumstances:

  • Insufficient number of participants (minimum of 5 participants required for an activity to run);
  • Illness or unavailability of the instructor;
  • Circumstances beyond its control (force majeure, safety concerns, etc.).

In such cases, Clients will be notified as soon as possible via the email address provided at registration. Tic Tac Lab ASBL will offer the choice of a full refund, a credit note, or rescheduling to a later date (where applicable). No additional compensation will be due.

Article 8 – Force Majeure

Neither party shall be held liable for any failure or delay in performance resulting from circumstances beyond their reasonable control, including but not limited to: natural disasters, extreme weather events, pandemics, government orders, power outages, or any other event constituting force majeure under Belgian law.

In such cases, Tic Tac Lab ASBL will make reasonable efforts to reschedule the activity or issue a credit note. Refunds in force majeure situations will be assessed on a case-by-case basis.

Article 9 – Health, Safety, and Medical Information

The Client undertakes to disclose, at the time of registration, all relevant medical information concerning the Participant, including:

  • Known allergies (food, medication, environmental);
  • Chronic or acute medical conditions;
  • Specific dietary requirements;
  • Any physical or psychological condition that may affect the child's participation.

This information is strictly confidential and will only be shared with the staff directly responsible for the Participant's supervision. Failure to disclose relevant medical information releases Tic Tac Lab ASBL from any liability arising from consequences that could have been prevented had the information been provided.

If a child falls ill or is injured during an activity, Tic Tac Lab ASBL staff will apply first aid and contact the emergency contact designated by the Client. If necessary, emergency services will be called. The Client authorises Tic Tac Lab ASBL to take any urgent medical decision required to ensure the Participant's safety.

Children must not attend activities if they are unwell or showing symptoms of contagious illness. Tic Tac Lab ASBL reserves the right to send a child home if they appear unwell during an activity.

Article 10 – Image and Media Rights

Photos and videos may be taken during activities for documentation and promotional purposes (website, social media, newsletters, etc.).

By default, no images of a Participant will be used in any publication or communication without the explicit prior consent of the Client. If the Client agrees to allow images of their child to be used, they must confirm this consent either in writing at info@tictaclab.org or by completing the dedicated online consent form at the time of registration.

When consent is given, it constitutes a non-exclusive, royalty-free licence granted to Tic Tac Lab ASBL to use images in which the Participant may appear, for non-commercial, organisational communication purposes only, for a period of five (5) years from the date of the activity. Consent may be withdrawn at any time by written notice to info@tictaclab.org.

Article 11 – Liability

Tic Tac Lab ASBL is covered by civil liability insurance for the activities it organises. In the event of an accident, Tic Tac Lab ASBL's liability is limited to incidents directly attributable to its own negligence or that of its staff.

Tic Tac Lab ASBL cannot be held responsible for:

  • Loss or damage to personal belongings brought to activities;
  • Incidents resulting from a Participant's failure to follow safety instructions;
  • Medical consequences arising from undisclosed health conditions.

Parents are advised not to send children with valuable personal items (electronics, jewellery, etc.). Tic Tac Lab ASBL accepts no liability for the loss, theft, or damage of such items.

Article 12 – Data Protection (GDPR)

Tic Tac Lab ASBL processes personal data in accordance with Regulation (EU) 2016/679 (General Data Protection Regulation – GDPR) and applicable Belgian law.

The personal data collected at registration (names, contact details, medical information, etc.) is used exclusively for:

  • Managing registrations and payments;
  • Communicating with Clients about activities;
  • Ensuring the safety and supervision of Participants;
  • Sending organisational newsletters and communications (with the possibility to unsubscribe at any time).

Data is never sold or shared with third parties for commercial purposes. It is retained for the duration necessary to fulfil the above purposes, and for a maximum of five (5) years after the last interaction with the Client.

The Client has the right to access, correct, delete, and object to the processing of their personal data, as well as the right to data portability. These rights can be exercised by contacting info@tictaclab.org. Complaints may also be lodged with the Belgian Data Protection Authority: www.dataprotectionauthority.be.

Article 13 – Behaviour and Code of Conduct

All Participants are expected to behave respectfully towards staff, instructors, and other children. Tic Tac Lab ASBL is committed to providing a safe, inclusive, and positive environment for all.

In the event of repeated disruptive or unsafe behaviour, Tic Tac Lab ASBL reserves the right to exclude a Participant from an activity or from future activities, without any obligation to provide a refund.

Article 14 – Complaints and Disputes

Any complaint relating to the services provided by Tic Tac Lab ASBL should be submitted in writing to info@tictaclab.org. We undertake to respond within 14 calendar days of receipt.

If no amicable resolution can be reached, the dispute will be governed by Belgian law and submitted to the competent courts of Brussels, unless mandatory consumer protection law designates another competent court.

Article 15 – Applicable Law

These General Terms and Conditions are governed exclusively by Belgian law. Any dispute arising from or in connection with these GTC that cannot be resolved amicably will be brought before the courts of the judicial district of Brussels.
